Quick-Read FAQ

The most common questions for school administrators and parents.

The basics

What is the School Check-In App?
A secure platform designed to modernize the K-12 student dismissal process. Parents check in from the School Check-In App on iOS or Android, or from any mobile browser, and staff are notified in real time.
How does the check-in process work?
When a parent arrives at school, they tap a single "Check-In" button in the app. A quick check confirms they're near the school and inside its pickup window, then their child's pickup ID appears instantly on a live dashboard monitored by staff inside.
Does the app confirm my child made it to the car?
That's an optional upgrade your school can add. With two-step check-in you tap once to check in on arrival, then tap again to confirm your children are in the car before you pull away — a recorded hand-off for schools that want one. It's off by default, so unless your school enables it, check-in stays a single tap.
Can parents save their vehicle details?
Saved vehicles is an optional upgrade your school can switch on. Parents add a car — make, model, and color — to their profile so the front office can match the vehicle to the pickup ID in the line. It's off by default; schools that don't need it never see it.
Is this a native app from the App Store?
Yes. The School Check-In App is live on the App Store and Google Play. The app gives you the most reliable location check — the part that matters most in the pickup line — plus one-tap check-in from your home screen. You can also check in from any mobile browser. Get the app
How difficult is it to set up our school?
Incredibly simple. You provide us with your student ID list and branding, and we handle the configuration. Parents then receive a welcome email with a secure link to set their password. Most schools can be fully onboarded in just a week or two.
How is a "family" defined for billing?
A "family" is defined by a primary Pickup ID. Whether shared with one parent or five guardians, it's billed as a single unit. You are not charged per user.
Does our school need a specific ID system?
Yes. The School Check-In App operates using a unique numbering system (Family/Pickup IDs). If your school already uses one, we can simply import it via CSV. If not, we can help you implement a new numbering system as part of your onboarding. When a family's account is removed, its number is freed up and can be reassigned to a new family.

Access & families

I'm a grandparent or caretaker and can't sign in
A parent needs to add you first. Caretakers don't get their own invite from the school, and we can't create caretaker accounts. Ask the child's parent to open the Share tab in the app and choose Permanent for regular pickups or Temporary for one day. You'll get an email right away. Caretaker access from last school year does not carry over. Parent or guardian of a student without an account? Contact the school office and ask them to add you.
Can guardians share pickup duties?
Yes. Primary parents can grant permanent, secure access to grandparents or caregivers, giving them their own secure login to check-in for the shared student pickup ID.
What if someone else picks up for one day?
Our "Temporary Access" feature allows parents to generate a secure, single-use link valid for only one pickup window, which can be sent via text or email to trusted individuals.
How do parents manage pickup access?
Each parent has a "Shared Access" tab. It shows a list of every account granted permanent access, allowing parents to instantly revoke access at any time with a single tap.
Does my account carry over to the next school year?
No. Every school year starts fresh. Each August, your school sends us its new family list and you get a new welcome email to set up your account again. Any caretakers you shared pickup with (grandparents, sitters, carpools) need to be added again in the Share tab. Check-in history doesn't carry over. Families who join during the year just get the regular welcome email.

Security & staff

What do dismissal staff see?
The front office sees a live list of every check-in in arrival order, and teachers see a color-coded grid of pickup numbers on any screen. Each pickup ID appears the moment a parent checks in.
How is our school's data protected?
We use Google's secure Firebase infrastructure, restricted API keys, strict CORS policies, and App Check to ensure all data remains private and protected at all times.
Do you store sensitive location data?
No. We perform a one-time check at "Check-In" to verify the parent is near school. This location data is then automatically and permanently deleted from our servers within a day.
How is staff account security handled?
The teacher dashboard uses a single shared credential, strictly managed by your school administrator. Passwords must be reset whenever staff members with access depart.
Is the app FERPA compliant?
Yes. Our agreement with your school designates us a "school official" under FERPA. We never collect student names, grades or birthdates, only the pickup number your school assigns.
What student information do you collect?
Almost none. We never collect student names, grades, photos or school records, only the pickup number your school assigns. We store parent and guardian contact details, check-in times and, if your school turns it on, vehicle details. Your school keeps the list that links numbers to students, owns all of its data, and we use it only to run pickup.
What support do you offer?
We offer multiple support channels, including in-app forms, website contact forms, and direct email to assist staff and parents with any issues.

Running dismissal

What if a parent can't check in from their phone?
Staff can check any family in from the admin dashboard. Tap the pickup number on the grid, or search by name or number, and a confirmation card shows everyone on that number before anything is recorded. If the family checks in from their own phone at the same moment, the card tells staff instead of undoing it.
Is this one more thing for our teachers to learn?
Barely. The classroom screen stays signed in and simply shows pickup numbers as families arrive, so there’s nothing to log into each day. Training is about 10 minutes at a staff meeting. Only the office and one or two people outside use the admin dashboard.
What if some families don’t want another app?
They don’t have to download anything. Check-in works straight from any phone browser, and the office can check in any family with one tap. Rogers families had the same worry at first, and they’ve now checked in more than 25,000 times.
What happens in bad weather or an emergency?
Administrators can switch on Emergency Mode, which lifts the location and pickup-time rules school-wide so every family can check in from wherever they are. Switch it off and the normal rules return.
Can pickup times change for half days?
Yes. We set your half-day dates from your school calendar, and on those days check-in follows the half-day pickup window instead of the regular one.
Can we see check-in history?
Yes. Daily totals of check-ins and pickups are kept for any date range, and we can send you a report anytime. Each day's final count is ready the following morning.
Can our school send announcements to parents?
School Announcements is coming soon as an optional upgrade: share your school’s events and reminders with parents right in the app. Ask us about it on your demo call.
